The Department is responsible for the minutes of debates in the Plenum and the standing committees regarding legislative procedures according to art. 70 of the Constitution as well as for the publication of the official minutes.

The Department consists of four departments:
 
Α) Stenography Department

The Department:
  • Uses stenography (short-hand) or any other appropriate system to record discussions and transcribe to the Official Verbatim report and the Minutes of sittings held within the Assembly Hall as provided by the Standing Orders;
  • Uses stenography (short-hand) or any other appropriate system to record discussions and transcribe to the Official Verbatim report and the Minutes of sittings held by standing or other committees, or working groups or other collective or individual representation agencies, as well as in formal gatherings, conferences and council meeting as long as the Speaker decides so;
  • Stenographers transcribe the part of the debate they record.
Β) Department for Publication for the Minutes

The Department:
  • Makes sure speakers review the transcripts of speeches they deliver;
  • Incorporates all minutes from the same sitting into one single text attaching all documents read in that sitting as well as amendments, additions, claims, petitions or complaints identifying the MPs who made them and also stating the outcomes of voting procedures, complete with lists of MP names in case of nominal voting, and generally including all types of data that help depict accurately all that was said in a sitting;
  • Forwards and supervises printing, editing and proofreading draft minutes which it then sends to MPs;
  • Gets approval for the final texts as published in the Minutes.
C) Department for Records, Archives and Indexing

  • Keeps records of approved Minutes as well as audio/video of all debates from all sessions touching on parliamentary business or others within Parliament;
  • Makes indexes for Parliamentary Minutes and relevant audio/video by subject matter and by speaker.
D) Secretariat

The Department:
  • Types formerly shorthand written texts which have by now been transcribed to longhand by means of personal computers, or other;
  • Incorporates all longhand texts in one and indexes the Minutes of each session;.
Ensures that transcribed longhand written texts and documents entered into the archives of the Department for Parliamentary Minutes are delivered immediately.
